IT Collaborator Account Request Policy


CSHL requires all Requestors of Collaborator Accounts to follow the IT Collaborator Account Policy defined here. A Collaborator Account is defined as an account for an individual identified as a non-employee to access the CSHL network, storage, and integrated applications in order to/but not limited to participating, attending, instructing, and supporting CSHL-sponsored activities. 


All Collaborators will be managed by a CSHL Point of Contact Manager (PoC) to approve and manage these accounts. The PoC Manager will submit an IT request to set up accounts and provide the information no later than one week prior to the required start date. As part of that information, a Unique Identifier will be provided and maintained by the PoC Manager for each individual account. This Unique ID should be a 6-digit number followed by a 2-digit alpha character denoting the group, for example, 123456MC would denote a request for a Collaborator Account for Meetings and Courses. This Unique ID will preserve accounts for returning Collaborators.


All account names will be auto-generated based on IT Naming Conventions. Collaborator Accounts are required to have an end date not to exceed 6 months unless otherwise indicated in an executed contract with CSHL.


The following information must be submitted by the CSHL PoC for account creation:



  1. Unique ID (6 Digits+XX) composed by CSHL Point of Contact
  2. First Name and Last name  
  3. Preferred First Name / Preferred Last name (Optional)
  4. Contact Email Address (Professional or Business email, where possible)
  5. Contact Phone number (Professional or Business phone number, where possible)
  6. CSHL Point of Contact (the Dept. Head, PI or Designee requesting the account)
  7. End date, not to exceed 6 months
  8. Additional requirements: File Space, HPC Cluster, Shared Drives, Requester Access, Other Access
